Executive Assistant to CEO – (Silverstone F1 HQ)

£75,000.00-£90,000.00 DOE|Silverstone F1 Circuit|Permanent

An exceptional EA is required to support the CEO of a world-renowned Formula 1 Racing Team. Applicants must have experience supporting C-Suite executives at senior leadership level. The position is based at the team headquarters at Silverstone, making this role suitable for an individual who is content living and working out of town. Professional experience within the world of F1 is not a requirement.

This opportunity is ideal for a highly experienced individual looking to join an elite team at an exciting time. The role offers enormous potential for career development in a unique environment. The client is looking for a dedicated EA who is a team player and can show longevity in previous roles. A minimum of 10 years as an executive assistant within large-scale corporations is an essential requirement for all applicants.

Under your remit, you will manage the CEO’s extensive diary, inbox, travel operations and logistics. We are looking for a natural relationship-builder with skills to be a practical extension of the CEO as you liaise and troubleshoot within various departments, from corporate to engineering.

We are looking for a relaxed and capable professional who can cut through the noise and ensure the CEO is provided with clear and concise information. The CEO works in a straightforward style; therefore, a supporting EA who can reduce large amounts of information into a clear message would be well suited. This is a fast-paced role for an EA with corporate efficiency, a calm and capable approach to schedule changes, and the ability to maintain a full workload.

You will sit in on meetings, create meeting notes, chase post-meeting actions and drive follow-up accountability within the broader team. All applicants must have strong IT skills and be confident with Excel and PowerPoint. Selected applicants will complete a speed and accuracy test.

Responsibilities

  • EA Responsibilities
  • Diary and calendar management for the CEO
  • Extensive inbox management
  • Troubleshooting – providing proactive and astute eyes and ears within the organisation
  • Working closely with the EA to the team owner  (you will share a workspace at HQ)
  • Travel logistics, scheduling commercial travel, booking jets/helicopters
  • Research, schedules and itineraries
  • Accounts and expenses
  • Creating board packs and preparing presentation packs as required
  • Meet and greet of visitors and associates
  • Accompanying the client to meetings if required
  • Note-taking/meeting minutes
  • Travel – not currently expected (however, ideal applicants will offer some flexibility as the position evolves)
  • PA Responsibilities
  • Personal bookings and appointments
  • Research and travel planning
  • Personal reminders (birthdays, events)
  • Gift sourcing

Key requirements

  • Extensive corporate EA experience within global corporations
  • Experience working within a larger team and possessing excellent people skills
  • Comfortable in an evolving and fast-paced environment
  • Must have a naturally organised and detail-orientated approach
  • A dedicated nature, able to show longevity in previous roles
  • Excellent supporting references

  • The ideal candidate will have supported clients at C-Suite level
  • Due to the rural location of headquarters, all applicants must drive and have access to a vehicle
  • This position requires in-office attendance Monday-Friday (WFH is not offered unless the client is travelling and a previous arrangement has been made)
  • Non-disclosure agreement required of all shortlisted candidates
